How to set up Mobile Workflow to optimize your driver’s work?

Created by Tanya Derevyanko, Modified on Wed, 26 Jul 2023 at 07:02 PM by Volha Viachorka

Use our Mobile Workflow tab to optimize drivers’ operation and set up necessary or obligatory rules to be performed. To manage this, go to tab Settings -> Mobile Workflow.

Field Driver’s Route List is used to set the time when the route becomes visible to the driver.

  • Option When route is not empty means that the route will appear in the mobile app once it is created and assigned to the driver.

  • By choosing option When ready to ship you can set up the time when the driver will see the planned route in the mobile app.

Note: Pay attention to your Time zone for proper work of this function.

Load check field is used for managing the Track-POD Mobile App Load Check feature.

  • Tick Enabled and Mandatory load check before start to set up load check as an obligatory action. Additionally, you can choose Signature is required if you want the driver to sign the load check report.

A more detailed description of how to use Load check function you can find in How to Enable Load Check article.

Use field Sites to manage the order of visiting stops.

  • If you choose Disabled for Sites reordering by driver, it means that the driver will need to follow setup order and cannot change it.
  • Enabling site reordering by driver allows the driver to re-order stops at his discretion.
  • The option to Send changes to the dashboard will allow the driver to change the sequence of                             the stops and will reflect those changes in the dashboard.

Choose which information will be required for Delivery confirmation. Choosing any of the fields to be obligatory will mean that the driver won't be able to deliver an order without attaching a photo, tacking customer's signature and/or name.

When to use the Delivery field?

  • This option is used when the number of rejected or delivered items may exceed the planned number. Enable Allow to reject more items than planned to give the driver the opportunity to enter more items in the Rejected Q-ty and Reason field in the mobile app and enable Allow to deliver more items than planned in case there is a possibility that the driver would need to deliver more items than expected.

Case example: The driver is assigned to deliver 5 items, but loaded 10. The customer rejects all of them. The function will allow the driver to enter 10 in a quantity field.

If you want to manage your Collections workflow and activate additional features use the Collection field.

  • Tick Select Reason for Rejection if the driver cannot collect all items listed in the order and needs to specify the reason for rejected ones. It allows the driver to enter the quantity of rejected items and select the reason in the Track-POD app.

  • If you don’t need the reason, tick Enter Actual Quantity. It allows the driver to enter the number of collected items if the order cannot be collected in full.

  • Tick the "Allow to specify location coordinates" to let a driver send the correct location back to the dashboard app if it differs from the initial place. Please note, that it is available only for the Android devices currently.

If the driver is less than 1 km from the initial location they should press 3 dots in the upper right of the Orders screen and click on Specify coordinates. Then they should select the location in the appeared map that is centered to their current location and press Submit.

The other useful feature is to confugire currency from the driver's app. It can be selected in the mobile app Settings. Please note, that it is available only for the Android devices currently.
