If you are new to Track-POD, you might wonder if it's necessary to input Clients and Addresses before using the system. This depends on your specific workflow.
Typically, spreadsheet imports and API integrations are employed to send orders to Track-POD, and in such instances, there is no requirement to enter Clients and Addresses. They will automatically be populated with data from the imported orders.
There are a few additional fields you may wish to complete, such as time windows, workdays, notes concerning particular addresses or clients, and priorities - these fields are filled out in Directories and will be reflected in orders.
However, if you intend to create orders in Track-POD individually by using the Add Order button, it would be beneficial to complete the Directories initially. Within the Add Order window, the system will help by auto-filling the Client and Address fields based on the Directories. To enable the system to auto-fill the customer's address, it can be helpful to link Clients and Addresses by code; here's how to do it. Even if multiple addresses are associated with a single customer, you can perform the same action and select the appropriate address from the drop-down menu.
Step 1. Upload a list of Addresses in Directories with the code filled in.
Step 2. Upload a list of Clients in Directories with the corresponding codes filled in.
Step 3. In Directories -> Addresses click on the Settings buttons and select Link Clients and Addresses in the drop-down menu. A system dialogue window will pop up, click OK to confirm the action.
As a result, your Client and Address entries with the same Code will be linked.
Important: this action cannot be undone, once linked address and customers cannot be unlinked in one click. To unlink the addresses and the customers you will have to export the Directories to Excel, remove the code column and upload the list of Addresses and the list of Clients back to Track-POD.
